About you | Mōhou ake 

We're seeking a Programme Coordination Lead to join our Programme Management Office (PMO) on a permanent basis from 1 July 2024. You will be leading a team of 2-4 Project Coordinators, providing support to the Programme governance groups and across the General Election programme. To excel in this role, you must be proactive, detail orientated, experienced working within programmes, supporting leadership, applying best practice coordination skills to your work, and supporting individuals to excel. Ideally you would have had more than five years working in a Programme environment.

What you'll be doing | He aha tāu e mahi ana

  • Providing quality support to the Programme and Programme Director.
  • Monitoring and providing coordination support to projects across several work streams, and mentoring Project Coordinators to ensure there is a consistent approach to using the Project Management Framework.
  • Day-to-day people management of 2-4 Coordinators.
  • Doing some junior project management.
  • Be the subject matter expert for the programme management tool.
  • Drafting programme reports for the PMO Manager and Programme Director.
  • Planning meetings, Programme Board minutes and follow up on actions.
  • Developing and maintaining the programme forecasting spreadsheet.
  • Coordinating programme financial reporting requirements.
  • Supporting the development of the programme schedule.

What you'll need to succeed | Ko ngā mea ka hiahiatia e koe kia angitū

  • A relevant qualification and/or equivalent experience in project or programme coordination.
  • Excellent oral and written communication skills, including minute-taking at meetings.
  • Proficient in the use of Microsoft Office including Excel, Visio, and Project.
  • An understanding of Microsoft Project for the Web is highly desirable.
  • Relationship management skills and ability to work in a team.
  • Planning and organisational skills.
  • Ability to work with the detail but understand the bigger picture.
  • Problem analysis skills and good judgement.
  • High level of flexibility and ability to multi-task.
  • Strong computer skills.
  • Demonstrated ability to work independently and present options for improvements based on using your initiative.
